Ironclad Systems LLC ("Ironclad", "we", "us") provides TrueNarrative, a documentation assistant for police report narratives. This policy describes what information we collect, how we use it, and the choices you have.

• Account information: name, email, department, and role provided when an account is created.
• Access request information: if you submit the "Request Full Access" form, we collect your full name, email, department or agency, and any optional message you include.
• Usage data: events such as cleanup, summary, questions, and finalize actions, used for service operation and limits.
• Narrative content: text you submit is processed to return drafts, summaries, or clarifying questions.
• Technical data: standard request metadata (timestamps, IP, user agent) used for security and reliability.

How We Use Information

• To provide and operate the TrueNarrative service.
• To enforce trial limits, account access, and department-level administration.
• To improve reliability, security, and usability of the product.
• To respond to support requests and access requests.

Third-Party AI Processing

Narrative text submitted to AI-powered features (such as cleanup, summary, clarifying questions, and finalize) is processed by a third-party model provider for the sole purpose of generating the output you requested. The model provider acts as a service provider to Ironclad and is not permitted to use your content for unrelated purposes.

Cookies and Session Technologies

We use cookies and similar session technologies to keep users signed in, manage trial sessions, and support security and access control. These technologies are necessary for the service to function and do not power third-party advertising.

Sharing of Information

We do not sell personal information. We may share information with service providers or vendors that help us operate the service (for example, hosting, email delivery, and AI model processing). Such sharing is limited to what is reasonably necessary to provide the service. We may also disclose information when required by law.

Data Retention

Account and event records are retained for as long as your account is active or as required to operate the service. You may request deletion of your account by contacting us.

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Your continued use of the service after changes take effect means the updated policy applies.
